What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. Personal Data Privacy Statement in accordance with the General Data Protection Regulation (GDPR) 2016/679 of the European Parliament 

A. General

The Cyprus Center for Algorithmic Transparency (referred to as “CyCAT”) is hosted at the Open University of Cyprus(referred to as “OUC”). CyCAT is committed to protecting your privacy and handling your personal data in an open and transparent manner. This statement describes how CyCAT collects and process your personal data, including sensitive data and informs you about your rights in relation to these data. According to the GDPR regulation, CyCAT is the Data Controller in regards to the H2020 Widspread Twinning Project “CyCAT”. B. Data Protection Rights of the Data Subject

The Personal Data provided to us will be anonymous, but according to the GDPR, you have the following rights.

  1. Access – The right to request a copy of your personal data and to check that they are lawfully processed.
  2. Erasure – The right to request erasure of your personal data, only if it does not oppose art.17 par.3.
  3. Rectification – The right to request the correction of inaccurate personal data concerning you.
  4. Restriction of Processing – The right to request the restriction of processing on your personal data if the data are inaccurate, or the processing is unlawful. 
  5. Object – The right to object to the processing, unless we demonstrate compelling legitimate grounds.
  6. Portability – The right to request a copy of your personal data in a format that can be easily transferred to another organization.
  7. Withdrawal of Consent – The right to withdrawal your consent at any time. You have the right to opt-out/withdraw your consent in regards to our mailing list by clicking the unsubscribe option in the email sent via Mailchimp.

C. How are Personal Data Collected

We obtain your personal data directly from you

Types of data collected:

  • Name, email address for our Mailchip mailing list
  • And IP address, information preferences (e.g., which pages are accessed on our website), gender, age and/or ethnicity will be collected anonymouslyfrom the website tracking.  

D. Categories of Recipients of the Personal Data

  • researchers of CyCAT, 
  • administrative assistants of CyCAT 

Personal Data collected with be anonymously categorized by age/gender/country/ information habits.

E. Processing Purpose

Your Personal Data will only be processed under the following circumstances:

  1. Communication via email (dissemination and communication)
  2. Academic research
  3. For participation in training programs and seminars (Information in regards to training opportunities will be send beforehand)
  4. Google analytics – tracking on website (http://cycat.io). The tracking data is automatically collected by Google through cookies – https://policies.google.com/technologies/types
  5. Where you have given your consentvia a pop-up on the website and/or to joining our mailing list. You may withdraw your consent at any time.
  6. To comply with a legal obligation that might arise such as court orders.
  7. Where we have appropriate legitimate interest to use your personal data provided your interests and fundamental rights are not overridden. 

F. Safeguards

CyCAT has implement the appropriate technical and organizational measures, such as anonymization, along with data-protection principles, such as data minimization, in addition to processing safeguards in an effective manner in order to meet the requirements of GDPR and protect your rights.

Your personal data will be stored securely at CyCAT server(s).

G. If you do not Consent for the processing of your Personal Data

CyCAT personnel will always do their best to respect your privacy preferences. You may always discuss with us your privacy concerns before consenting to participate in any project, campaign or other related activity in which your data could be collected. If you do not Consent for processing of your Personal Data:

(i)  Any information we have collected about you, through any means would be deleted.

(ii)You will not be contacted by us for future educational or training opportunities.

H. Change of Processing Purpose

Where the processing other than that for which the personal data have been collected is modified, then it is our obligation to information you and request a new consent form, unless it is compatible with our initial processing purpose. 

I. Transfer of your personal data

Anonymized datasets with be shared among CyCAT researchers via the OUC’s institutional repository. All CyCAT members have adequate level of data protection according to the GDPR and the existence of an “adequacy decision” by theEuropean Commission. 

J. Automated Decision Making

Not applicable. 

K. Retention period

Tracking data on our website (http://www.cycat.io) will be kept in secure storage for a period of five years or until you request the erasure of your personal information. Whereas the mailing list personal data will be securely stored for three years (October 2021). We may keep your data for longer if we cannot delete it for legal, regulatory or technical reasons. 

L. Right to Complain

If you feel that your concerns in regard to the use of your personal data or any of your data protection rights have not been address by us, then you have the right to complain to the Data Controller Representative or OUC’s Data Protection Officer(contact details in Section M). You also have the right to complain to the Personal Data Protection Commissioner’s Office (http://www.dataprotection.gov.cy).
